Alerts via Power Automate in D365 Finance and Operations

Ever missed an important business event in Dynamics 365 Finance and Operations because you weren’t notified in time? I’ve been there, and it’s frustrating. Luckily, there’s a way to stay on top of things by sending emails automatically when key events happen. With Power Automate you can set up alerts that keep you informed without post it notes or endless to-do lists. Let me walk you through how to make this happen, step by step.

What You Need to Know Before You Start

Before diving in, it’s good to understand the basics. Dynamics 365 Finance and Operations allows you to create alerts based on data changes. These alerts can trigger actions, like sending an email. Power Automate, part of the Power Platform, is the tool that will help you respond to these alerts by sending emails automatically.

Here’s what you’ll need:

  • Access to Dynamics 365 Finance and Operations with permissions to create alerts.

  • Power Automate account connected to your Office 365 Outlook.

  • The Change Based Alerts Batch running in Finance and Operations.

  • A clear idea of which business events you want to track.

If you want to get familiar with creating alerts in Finance and Operations, Microsoft’s official guide is a great place to start: Create alerts in Finance and Operations.

Step 1: Make Sure the Change Based Alerts Batch is Running

The Change Based Alerts Batch is the engine that checks for data changes and fires off alerts. Without it running, your alerts won’t trigger.

  • Head to System Administration in Finance and Operations.

  • Find Batch Jobs and look for the Change Based Alerts Batch.

  • If it’s not running, start it or schedule it to run regularly.

This batch job scans for changes and queues alerts, so it’s essential to keep it active.

Step 2: Create an Alert for Your Business Event

Now, let’s create an alert for the event you want to monitor. For example, you might want to get notified when a worker address changes or when a new email address is added to the employee profile.

  • Navigate to the form or list where the event happens (e.g., Worker address).

  • Right-click on the field or record you want to monitor.

  • Select Create Alert.

  • Define the alert criteria, such as when a record is updated or a specific field changes.

  • Choose to send the alert externally (this is important for Power Automate to pick it up).

Once saved, this alert will trigger whenever the specified event occurs.

Step 3: Build Your Power Automate Flow to Send Emails

Here’s where the magic happens. Power Automate will listen for the alert and send an email when it fires.

  • Log in to Power Automate.

  • Create a new flow using the When a record is created, updated or deleted trigger for Dynamics 365 Finance and Operations.

  • Add a condition to check the rule identifier of the alert. This ensures your flow only reacts to the specific alert you created.

  • Use the Office 365 Outlook connector to send an email.

  • Customize the email content with dynamic fields from the alert, like the record name, changed values, or user details.

This way, you get clear, actionable notifications without digging through the system.

Step 4: Test Your Setup

Testing is crucial to make sure everything works smoothly.

  • Trigger the business event in Dynamics 365 Finance and Operations (e.g., certificate expiring soon).

  • Wait for the Change Based Alerts Batch to process the change.

  • Check your email inbox for the alert message.

  • If it doesn’t arrive, review your flow and alert settings.

Once confirmed, you can relax knowing you’ll never miss important updates again.

Tips for a Smooth Experience

  • Keep your alert criteria specific to avoid flooding your inbox.

  • Use meaningful email subjects to quickly identify the alert type.

  • Regularly monitor the Change Based Alerts Batch to ensure it’s running.

  • Document your flows and alerts for easy maintenance.

  • Consider adding multiple recipients or teams if the alert affects more than one person.
