Copilot in D365 HR: Task recording you are out!

Those who have worked with Dynamics 365 ERP for some time now will likely know what task recordings are. Luckily if you don't belong to that group: you are very lucky.

Task recording was a solution we used as consultants to create guides for end users. There are two different schools of thought:


  1. 👩🏻‍⚕️The caretaker: provide as many guides and resources to the end user as possible, in a way the caretakers spoil the client in so many ways.

  2. 🏋️ The enabler: through training and support the enabler makes sure that users are aware of how the system works, and that can sort issues themselves with the right amount of resources.


I'm the second case, in many spaces, babysitting is not my thing. I avoided task recording so much, and now I'm happy with this solution that will empower everyone to ask, ask, and ask without facing many issues. Let's have a look at how task recording worked:


✅First: record. Note the struggle with the errors that appeared in the leave submission. As a consultant that means that after recording, I need to edit the process and test it to make sure it's working as it should.




✅Second: use. It's not very user-friendly, if a mistake is made during the guided process the recording will be very stubborn and keep saying that we should start over. I can't deal with that.




 


Let's agree that task recordings are something engineered by a very evil person and that Copilot within Finance was the masterpiece of a good soul. The power behind Copilot enables all users to ask questions and get instant guidance. However, let's not romanticize AI. It's good and works well while providing answers, but it can also display inaccurate information:



The answer is not from HR functionality. It might be that the prompt is bad. Maybe that was my case. However, I was able to replicate the same process that I created with the task recorded but using only Copilot. Let's see how it works:


✅ First: find Copilot following the arrow you can see the icon.


✅Second: ask. In the recording below I'm asking Copilot to guide me through the process of time-off request as an employee. Note that when I was prompting I entered some context and that helped to get the right answer. The guidance is accurate and the steps described are clear.



Remember that while using Copilot I didn't need to train, record, or anything like it. This solution is very helpful and it will most likely help people to learn how to prompt while doing their everyday job. You definitely don't need a course in prompt engineering if you incorporate these tiny steps into your routine.
